Topic: Word doc to PDF: best practices?

My question has to do with Standards or Best Practices for converting Word documents to PDF. Do such exist?

Background: In my organization, we create rather complex Word documents, which we convert to PDF in 2 situations:

1. To send draft docs for review to colleagues in other offices (this is a global network, and colleagues have various levels of technology)

2. To send the final, not-to-be-changed document to the people who use it

We have installed Acrobat 5, and we convert Word docs to PDF by using the "Acrobat" menu and toolbar buttons added into Word (via PDFMaker.dot). The command is "Convert to Adobe PDF." Simple, but when I look at the dozens of "conversion settings" I realize that there are many decisions to be made.

I would like to make sure our conversion is as smooth and useful as possible...small file size, some navigation but not too many bells/whistles, appropriate security precautions, backwards compatibility, etc. I also need to take account of the fact that many users are not very comfortable in Word or PDF.

I realize that many of these decisions are not universal and must be made to fit my specific circumstances. On the other hand, I don't want to reinvent the wheel. Does anyone know of a resource that deals with these issues?

Many thanks,
Erik

Adding a PDF Stamp Comment

OK, so you want to stamp your document. Maybe you need to give reviewers some advice about the document's status or sensitivity. This tip from author Ted Padova demonstrates how to add stamps with the Stamp Tool along with related comments.
